Employment & Compliance
Employment taxes
- Income tax: Progressive, ranging from 5% to 45% depending on income.
- Local resident tax: About 10% of previous year’s income.
- Pension insurance: Around 9.15% of salary.
- Health insurance: About 5% (slightly higher if aged 40–65 due to long-term care).
- Unemployment insurance: 0.3% of salary.
Together, expect around 20–30% of your gross salary withheld monthly for taxes and contributions.
Leave policy
- Annual leave: After 6 months of continuous employment and 80% attendance, you’re entitled to 10 paid days. Over time this increases (up to 20 days) based on tenure.
- Public holidays: 16 national holidays.
- Sick leave: There is no legal requirement for paid sick leave. Employers may have internal policies. However, employees typically use their accrued paid annual leave days when they are ill.
- Maternity leave: You can take 14 weeks of paid leave. 6 weeks must be taken before the child's birth and 8 weeks after. You will receive 2/3 of your standard remuneration via social security.
- Paternity leave: Fathers can take up to 4 weeks within 8 weeks after childbirth. Benefits from employment insurance are also available for this leave.
- Parental leave: Both mothers and fathers are entitled to childcare leave until their child reaches the age of 1 year. This period can be extended up to 1 year and 6 months. Social security will pay 67% of the salary during this period for the first 180 days and then 50% for the remaining days. Parental leave can be extended up to 2 years at 50% pay.
Employment termination
- Notice period: Either side must generally give 30 days’ notice or pay in lieu if not possible.
- Dismissal must be for a legitimate reason (misconduct, performance, business necessity). Unlawful dismissals can lead to compensation.
- Protected periods: You can’t be lawfully dismissed during maternity leave, or for 30 days after returning from it. Also, dismissals because of pregnancy or childbirth are illegal.
- Severance: In Japan, there are no statutory requirements for severance payments.
Hiring and contracts
- Contracts must be written and include essentials: job duties, salary, working hours, leave entitlements, termination terms, etc.
- Contracts must be in Japanese and can be bilingual.
- Contract types: fixed-term or indefinite (open-ended).
- Probation period is allowed (commonly 3–6 months). During probation, termination may be easier (but still must respect notice).
Payroll and salary payments
- Payroll is typically monthly, often paid by the 25th of the month (or earlier if the 25th is a holiday)
- Minimum wage: Japan has regional minimum wages. As of recent info, the minimum hourly wage ranges between ¥714 and ¥1,023 (€4.08 - €5.84/ $4.78 - $6.84) depending on the region.

- Rent (1-bedroom in central area): ¥120,000–¥200,000 (€732–€1,220 / $780–$1,300)
- Utilities & Internet: ¥10,000–¥20,000 (€61–€122 / $65–$130)
- Food / groceries / eating out: ¥40,000–¥80,000 (€244–€488 / $260–$520)
- Transport: ¥10,000–¥20,000 (€61–€122 / $65–$130)
- Misc (phone, entertainment, sundries): ¥10,000–¥30,000 (€61–€183 / $65–$195)
- Total estimated: ¥200,000–¥350,000 (€1,220–€2,135 / $1,300–$2,275) (or more, depending on standard of living).
How to get a local ID number
- Once you move to Japan and become a resident, you’ll register at the city/ward office within your area of residence and receive a “My Number” (個人番号 / My Number Card).
- This “My Number” is your social security/tax ID. You’ll use it in official documentation.
- Remote workers still need to be registered in tax/social systems and receive that number via the local process.
Social security registration
- As soon as you’re officially employed, the employer usually registers you for health insurance and pension under the social insurance scheme.
- Unemployment insurance and workers’ compensation are also enrolled by the employer.
- Contributions are made each month (employer + employee share).
Banking
- Common banks: MUFG (Bank of Tokyo-Mitsubishi UFJ), SMBC, Mizuho, Japan Post Bank
- To open an account, you typically need your Resident Card / My Number, proof of address, and identification
- Salaries are usually deposited into Japanese bank accounts.
Housing and rental process
- Rental process often includes: security deposit (敷金, “shikikin”), key money (礼金, “reikin”), agent fees, and guarantor requirement (someone, Japanese or guarantor company, must co-sign)
- Standard leases are 1–2 years
- Tenant rights: Landlords can’t evict without legal reason. You have rights for repairs.
- Notice: typically months’ notice if landlord terminates
- Be careful with hidden fees (maintenance, management fees).
Healthcare system
- Japan has universal healthcare. As part of social insurance, you’ll pay into health insurance and in return receive coverage for medical treatment, hospital stays, and medicines.
- You usually pay 30% of medical costs as co-pay (for most treatments), the rest is covered.
- For maternity, childbirth, and other benefits, there are insurance-based allowances (e.g. maternity allowance).
Driving and public transport
- To drive, you may need to convert your home country driving license (if eligible) or obtain a Japanese license (written and practical exam).
- Public transport is excellent: trains, subways, buses are efficient, clean, and punctual.
- Many people rely on commuting by train/subway rather than car, especially in cities.

Work permit and visa requirements
- To work in Japan, you generally need a work visa.
- The process often involves securing a Certificate of Eligibility (CoE) via a Japanese sponsor, then applying at a Japanese consulate
- For remote work (i.e. you staying overseas and working for a Japanese employer or entity), rules differ. Some companies may treat you as an international remote employee, and local tax/visa obligations depend on your country of residence.
Business culture and work norms
- Hierarchy and respect for seniority are strong, use honorifics and polite language.
- Indirect communication is common, people may not say “no” directly
- Group harmony (和, “wa”) is valued - consensus decisions and team mindset
- Punctuality is non-negotiable
- After-work socializing (nomikai) is still part of bonding in many companies
- Quality over speed: attention to detail matters
- However, many modern companies (especially tech/startups) are adapting, with flexible hours and remote options.

- To employ a foreign worker, you must act as the sponsor and apply for a Certificate of Eligibility (CoE) on their behalf. The CoE proves that the applicant meets the requirements for a work visa and is issued by the Japanese Immigration Bureau. Without the CoE, the employee cannot proceed with their visa application.
- Visa types: The work visa category depends on the nature of the job (e.g., Engineer/Specialist in Humanities/International Services, Intra-company Transferee). Choosing the correct visa type is essential to avoid compliance issues.
- Once approved, the CoE is sent to the employee. The employee submits the CoE, passport, and visa application to the Japanese embassy or consulate in their home country.
- Upon arrival in Japan, the employee receives a residence card at the airport, which officially allows them to work and live in the country.
- Processing time: Full process can take 1 to 3.5 months on average. Delays are common if documentation is incomplete.
